Visa Approved… But No AIMA Appointment. Now What?

You did it.

After months of paperwork, bank statements, emails with your visa consultant, and the apartment you found to call home — your Portuguese residence visa was finally approved.

You exhaled. You allowed yourself to picture it: morning coffee on a Lisbon balcony, a walk through Porto's cobblestones, the Atlantic air on your face. You had made it.

Then you looked at the visa sticker in your passport.

And the "Observations" field was empty.

No AIMA appointment date.

If you're reading this, you may feel like the ground just shifted beneath you. You're wondering: Did something go wrong? Did I miss a step? Is this dream already in trouble?

Here's the truth, and I want you to hear it clearly: You did nothing wrong. This is not your fault.

Why Your Visa Was Issued Without an AIMA Appointment

This situation is far more common than most people realize.

The Portuguese consulates have officially acknowledged that when no appointments are available at AIMA (the Agency for Integration, Migration and Asylum), the visa sticker is simply printed without the appointment link. This is not an oversight. It is official procedure.

Your visa consultant could not have prevented it. You could not have "fixed" it before leaving. It is a symptom of a system under immense strain.

AIMA inherited a backlog of approximately 400,000 pending cases from the former SEF immigration service. Appointment slots are arguably the most valuable — and scarce — commodity in Portugal right now. The agency has been working through this backlog, but demand continues to outpace capacity.

Your residence visa is valid for four months to enter Portugal and begin the residency process. That is your window.

So take a breath. Let's get to work.

The Two-Step Process: Visa vs. Residency

This is the part many people miss: your visa is not your residence permit.

  • Step 1 (Done): You received a residence visa from the Portuguese consulate in your home country. This allows you to enter Portugal and stay legally for up to four months.
  • Step 2 (Now): You must exchange that visa for a residence permit through AIMA. This is what gives you long-term residency rights, access to healthcare, and a path to citizenship.

The AIMA appointment is how you complete Step 2. Without it, you cannot get your residence card — but you remain legally in Portugal while you wait, provided you have requested the appointment and can prove it.

How to Get Your AIMA Appointment: The Official Route

You must contact AIMA through their official contact form. They have created specific categories for this exact scenario.

Depending on your visa type, select the appropriate Subject Type and Subject Subtype:

These categories are confirmed by the Portuguese Ministry of Foreign Affairs and are the only correct options for each visa type.

Critical: Use your personal email address. Do not use your lawyer's, your manager's, or a friend's email. AIMA will communicate through this address, and they explicitly require direct contact with the applicant.

When filling out the form, enter your name exactly as it appears on your visa sticker. Attach digital copies of your passport and consular visa. These details matter — small errors can delay your request.

Can Your Visa Consultant or Lawyer Help?

Many visa professionals offer AIMA appointment assistance as part of their service. If you hired a firm for your initial visa process, ask your point of contact whether they can facilitate the AIMA booking on your behalf.

The Wait: What to Expect

Even if you submit the form today, please understand: this will not happen overnight.

We have seen clients receive appointment dates almost immediately. We have also seen clients wait a year or more. The system is moving — but it moves slowly.

What this means for you: You remain legal in Portugal while you wait. The Portuguese government has been extending validity periods because of these delays. Keep your visa, your passport, and proof that you have requested the appointment (screenshots of the form, confirmation emails) with you at all times.

Check your email daily — including your spam folder. AIMA may also contact you by SMS.

Do Not Lose or Reschedule Your Appointment

When that golden email finally arrives with your appointment date, treat it like a winning lottery ticket.

Slots are incredibly difficult to secure. While rescheduling is technically possible, it is highly discouraged unless it is a true emergency. AIMA has publicly appealed to applicants to cancel or change appointments with the greatest possible advance notice if they cannot attend. Simply not showing up without justification can result in your case being archived or your appointment cancelled without guarantee of a new one.

If you must reschedule, do it properly — and understand that it could send you to the back of the line.

The AIMA Digital Portal: A Glimpse of the Future

AIMA is slowly moving toward a more digital system. As of 2026, they have launched an online Renewals Portal (portal-renovacoes.aima.gov.pt) for certain categories, including EU citizens and some renewal cases.

However, for most first-time applicants arriving on a residence visa without an appointment, the Contact Form remains the primary and correct route. The digital portal is expanding, but it does not yet replace the contact form for your situation.

Final Thoughts: You Are Closer Than You Think

Yes, this is frustrating. It feels like limbo. But please understand: this is a structural issue, not a personal one.

You have done the hard part. You moved mountains to get here. This is a bureaucratic hurdle that tens of thousands of other expats are navigating alongside you right now.

Keep your documents organized. Check your email daily. Be proactive but patient.

You are so close to making this dream a reality. Don't let this hiccup steal your joy.
